A hardware evaluative rubric should be created by a representative committee including members with experience network and hardware. 

 

Categories such as RAM, clock speed, bandwidth, management, refresh rates, resolution, upgrades, support, and storage capacity should be considered.

Individual districts have their own individual purchasing regulations and procedures. 

 

Purchasing involves school board approval, approval of contracts, timing and number of formal price quotes, request for proposal procedures, specifications on contracts, payment policies, and purchasing timelines.

Bids

 

For a large technology purchase, a technology coordinator may need to prepare a detailed description of the order. 

 

A technology coordinator may need to request permission to submit a bid request when purchasing large orders of hardware.

 

Before a bid is placed, it is best practice for a coordinator to meet with a hardware evaluation committee to ensure appropriate features, needs, and documentation is met.

 

A technology coordinator is to prepare purchasing specifications for the purchasing office within a district.

 

The purchasing office will prepare a request for proposal, which then will be reviewed by the school's legal department before vendors can submit bids. 

 

A pre-bid conference is typically held by the school for vendors question about the purchase. 

 

After bids are submitted, the technology coordinator and a member from the purchasing department from the school will a make decision on selecting a provider. 

 

Hardware should be made available for evaluation before the final purchase is made.

The rubrics above are great! They are well-designed and logical. I enjoy seeing how different they can be, but oddly similar at the same time.

I really like the rubrics. This is something my district does not use when purchasing. It may be something I show our tech coordinator.
